Calendar

Calendar feature allows you to see and manage all the jobs for the day/ week/ month in one place. 

You can find the Calendar in the main menu at the left of your screen, in the Scheduling section:

The calendar has 4 different views: Day, Week, Month and List. On all the views you can see the Jobs (Estimates and Work Orders), organized by scheduled time, and the team to which the jobs have been assigned to.

On the right side, on all the views, you have a small calendar of the month and a list of all the existing teams. You can choose a specific date and mark the teams you want to see in the calendar while moving among all the different views. 

The time of the jobs is displayed at the left of the Calendar. 

 You can also search and filter the jobs. To search, you can type any job detail on the search bar and if there is a job that match with your search criteria, it will be highlighted.

You can click on Advanced to filter the jobs by Customer Type, Job Status, Job Categories or Zip Codes. Before the Advanced button there is a Filter search where you can type and search by any tag from the Advanced filters.

 

On the Day, Week and Month views you can Click once on a particular job to see the tooltip with the job details. 

CALENDAR PREFERENCES

You can manage what you want to see in your Calendar in the Company Settings. To manage your preferences, go to the Company settings at the top right corner, navigate to the Preferences section and press the Edit button: 

This will open the pop-up window and you can select what you want to be displayed on your Calendar cards: 

Card Time: if this box is marked, the time of the job will be displayed on the Card header. 

Card Title: you can select wether you want the Customer Name or the Location name to be the title of your Cards.

Customer Name: if this box is marked, the name of the Customer will be displayed in the Card body. 

Location Name: if this box is marked, the Location name will be displayed in the Card body.

Location Address: if this box is marked, the Location address will be displayed in the Card body.

Contact: if this box is marked, the Contact info will be displayed in the Card body.

Job Description: if this box is marked, the Job Description field will be displayed in the Card body.

Job Number: if this box is marked, the name of the Job number will be displayed in the Card body.

Job Status: if this box is marked, the Job status will be displayed in the Card body.

Scheduled Date and Time: if this box is marked, the Scheduled Date and Time will be displayed in the Card body.

Last Service Date: if this box is marked, the Last Service Date will be displayed in the Card body.

Target Date: if this box is marked, the Target Date of the job will be displayed in the Card body.

Job Custom Fields: You can select which Custom Fields should be displayed on the Card body. 

 

CALENDAR VIEW:

The Calendar has different colors to mark the teams and job statuses.  The colored bubble at the job card's header  marks the team color which is assigned to the job. Team colors can be seen at the right of the Calendar. It's useful especially in the week and month view, because you don't need to open the job to see which team the job is assigned to.

The color of the card's header marks the job status: 

Open job
 Assigned job
In Progress
Finished job
Completed job
Suspended job

Also, in the Calendar view you can easily manage the Work Orders. If you want to move it to another day or time, you can just drag and drop the job card to another place: 

If you want to change the job duration, you can click on the job card's frame and drag it to another hour:

When you do that, the card becomes transparent, expands and your job duration is edited: 

Also, you can add or edit the jobs straight from the Calendar. If you want to add a new job, double-click the empty space in the Calendar:

The n the pop-up window opens where you need to select either you want to create an Estimate or a Work Order: 

Select the job type, click 'Next' and the job creation window will open: 

Enter all the information the same as in the regular job creation window, except that you have the date and time already pre-filled for you. 

Also, if you double-click on the already existing job, the job edition window opens and you can easily change the job details straight from your Calendar. 

In the month view of the Calendar, if there are too many jobs to fit in one day, you will see how many jobs are hidden from the view:

If you click on the jobs amount, this will extract the particular day in a pop-up and you'll be able to see all the hidden jobs: 

All these features on the Calendar allow you to easily manage your jobs based on the time and job duration.
